The ideal candidate will join a dynamic and fast paced working environment. The successful candidate will be responsible for the secretarial, reception and office administration duties of the Firm including but not limited to the following:


Drive continuous improvement of office working environment and identify opportunities for improvements Manage relationships with vendors and service providers, negotiate prices, check invoices, ensure that everything is followed up correctly. Assist in planning and managing of the office budget. Control the cleaning staff and office cleanness in accordance with the Corporate Cleaning Policy. Drive continuous improvement of the office cleanness. Assist in developing office policies and procedures, and ensure they are implemented appropriately. Order catering, snacks for Happy Fridays, etc. for employees and control quality of food and service. Cooperate with the Maintenance Department, prepare a schedule of maintenance works and control timely execution. Update Stock control on a regular basis (stationary, brand staff, food, etc.)Assist with office layout planning and office moves. Oversee and support all administrative duties in the office and ensure that office is operating smoothly. Provide ideas for Corporate Events. Choose venues for Corporate Events and work with the venue in respect of organizing the even. Work with event vendors and service providers (rentals, decoration, catering companies, etc.) and assist in the event preparation. Coordinate the event on-site to ensure execution is on schedule, coordinate vendors and service providers. Prepare presentations. Handle and oversee all travel arrangements (transport, accommodation, etc.)Negotiate contracts or rates with travel service providers. Provide advice on travel documents, visas, insurance, baggage allowances, etc.Assist employees with all questions in respect of their business trips. Control travel budget and prepare Travel and Expenses reports or any ad hoc report. Ensure compliance in all aspects of travel procedures with the Corporate Travel Policy. Assist employees with relocation and social engagement process. Handle corporate apartments (control occupancy, cleaning before and after stay, maintenance, etc.). Perform other duties requested by the Head of Administration


  • Qualification in secretarial studies, administration or any other relevant field will be considered advantageous
  • At least 1-2 years work experience as a receptionist, secretary or office administrator
  • Fluent spoken and written English and Greek; Russian will be considered an advantage
  • Excellent organizational skills & attention to detail
  • Comfortable working in a high pressure environment
  • Neat and well presented
